Create Your PDF Files


After you complete the word-processed ETD, you should create one or more PDF files. Find a computer with your word processor and Adobe Exchange installed.

The Adobe Exchange software includes drivers to print word processor documents to a Portable Document Format (PDF) file. You can buy your own copy of Adobe Exchange from a computer store and at the University Bookstore. Additionally, the IRM will be providing Adobe Exchange in the various computer labs across the University campus.


Steps to create PDF Files

Use Acrobat Distiller to generate PDF files from PostScript.

  1. Make sure that you have a PostScript printer. To install one in Windows 95 or NT, use the Printers window available under the Settings start menu item. Try the Apple LaserWriter Pro 810 driver and maker sure it is set to print to files.
  2. Open your ETD in your word processor.
  3. From the File menu, select Print.
  4. Choose the printer to be the PostScript printer (such as Apple LaserWriter).
  5. Print to file "etd.prn". Name separate chapters (if you need them) ch1.prn, ch2.prn, etc.
  6. Launch Adobe Acrobat Distiller.
  7. From the Distiller menu choose Job Options. On the General filecard make sure that Acrobat set to 3.0 and the page size is correct (8.5x11). On the Font Embedding filecard choose to "Embed All Fonts".
  8. From the File menu, select Open.
  9. Select "All files (*.*)" at the bottom, then choose your "etd.prn".
  10. "etd.pdf" will appear in the file name box. Make sure it is all lower case. Select OK.
  11. Distiller will create your PDF file for you.
  12. Open and convert your chapter files if necessary.
  13. After you generate your PDF files, make sure that all the PDF files and multimedia files are in the same directory. Carefully review the PDF files using Acrobat Exchange to be sure that they are correctly formatted.

Adding Links to the PDF File

Open the Adobe Exchange application. Use this application to add links to your PDF files.

Table of Contents

You may add "bookmarks" from the table of contents items to the chapters and sections of the PDF file. Select the "Edit" menu and choose "Bookmarks."

List of Multimedia Objects

You may add "bookmarks" from the list of multimedia objects to the pages where you refer to external multimedia objects.

Multimedia Object References

Link each figure caption to the corresponding external multimedia object. Select "Tools" menu and choose "Link..." From the link dialog make a visible blue link whose action is "Open File." Make sure you link all your multimedia files at least once.
